2. What information we process
We may process the following personal data about you:

information about the rental period, collection, return, and reserved equipment
payment and invoicing information
correspondence and customer service enquiries
information about damage, defects, delays, fees, fines, or other matters related to a rental agreement
technical information about your use of the website, including IP address, browser, device, cookies, and similar technologies
When renting vehicles or other registered equipment, we may also process information necessary to manage the rental relationship, including information about the driver, damage, fines, charges, seizure, or insurance matters, where relevant.
3. Where the information comes from
As a general rule, we collect personal data directly from you when you:

make a booking or place an order
complete a payment
contact us by e-mail, phone, or through the website
use our website and booking solution
provide us with information in connection with delivery, collection, damage, complaints, or disputes
We may also receive information from third parties where necessary to carry out or manage a rental agreement, for example from payment providers, carriers, insurance companies, advisers, or public authorities.
4. Purposes of processing
We process your personal data for the following purposes:
to create and manage your user account
to receive, process, and complete bookings and orders
to deliver, hand over, collect, and receive returned equipment
to handle payment, deposits, reservations, credits, and invoicing
to provide customer service and respond to enquiries
to document, manage, and follow up on rental agreements
to handle damage, breach, delays, disputes, and possible legal claims
to prevent misuse, fraud, and security incidents
to comply with applicable legislation, including bookkeeping and accounting rules
to improve our website, operations, services, and user experience
to send service messages and practical information relating to your bookings
to display relevant marketing, where you have given consent to this
5. Legal basis for processing
We process your personal data on one or more of the following legal bases:
Contract: where processing is necessary to perform an agreement with you or to take steps prior to entering into an agreement, for example booking, delivery, payment, and customer service.
Legal obligation: where we are required to process or retain information under applicable law, for example bookkeeping and accounting regulations.
Legitimate interest: where we have a legitimate and justified interest in operating, protecting, and developing our business, including documentation, handling claims, preventing misuse, and improving our services.
Consent: where processing requires your consent, for example when using non-essential cookies or certain forms of marketing. Article 13 of the GDPR requires that this information be provided to the data subject.
6. Whether providing information is mandatory
Some information is necessary for us to create your account, complete a booking, receive payment, or provide our services. If you do not provide this information, we may in some cases be unable to enter into or perform an agreement with you.
7. Sharing of personal data
We only share your personal data where necessary and lawful.
We may share information with:
Sharefox, which provides and operates the booking platform as a data processor on our behalf
Nets, which handles payments, including card payments and relevant payment methods such as Apple Pay and MobilePay
hosting and IT service providers
accounting and administration systems
carriers and partners in connection with delivery, collection, or service
insurance companies, advisers, auditors, or debt collection partners where necessary
public authorities, courts, or others where we are legally required to do so, or where necessary to establish, exercise, or defend a legal claim
Sharefox’s DPA states that the customer is the controller/data controller and Sharefox is the processor/data processor. The DPA also describes the use of sub-processors.
8. Payment
When you complete a payment on the website, your payment information is processed through Nets. We do not store full card details on our own systems. Payment information is processed only to the extent necessary to complete the payment, handle deposit reservations, credits, additional charges, and transaction documentation.
If you choose Apple Pay, MobilePay, or other payment methods, the necessary payment information is processed through the relevant payment infrastructure via Nets.
9. Cookies and similar technologies
We use cookies and similar technologies on our website to ensure that the site and booking solution function properly, to improve user experience, to measure traffic, and to display relevant advertising.
As a general rule, we use the following types of cookies:
Necessary cookies, which are required for the website and booking functionality to work properly
Statistics cookies, including cookies related to Google Analytics, which help us understand how the website is used
Marketing cookies, including cookies related to Google Ads, which may be used for advertising measurement and remarketing
Based on your current setup, you use Google Analytics and Google Ads, and your tracking report also shows Google Ads-related cookies such as _gcl_aw and _gcl_gb.
Non-essential cookies are only used if you have given consent via our cookie banner. You can change or withdraw your consent at any time through the cookie settings on the website. The Danish Data Protection Agency states that data subjects must receive clear information about their rights and that the GDPR information obligations must be observed when collecting personal data.
10. Transfers to countries outside the EU/EEA
Some of our suppliers or their subcontractors may process personal data outside the EU/EEA, including in the United States, for example in connection with Google services.
If personal data is transferred to countries outside the EU/EEA, we ensure that the transfer takes place on a lawful basis and with appropriate safeguards, such as the European Commission’s Standard Contractual Clauses or another valid transfer mechanism.
Sharefox states in its DPA that processing may take place within the EEA and that transfers outside the EEA may take place where appropriate safeguards and enforceable rights for data subjects are in place.
11. Retention of personal data
We only retain your personal data for as long as necessary for the purposes for which it was collected, or for as long as we are required to do so by law.
As a general rule, the following applies:
account information is retained as long as your account is active and is then deleted or anonymised within a reasonable period, unless we have an ongoing legitimate or legal need to retain it
booking, order, invoice, and payment information is retained to the extent necessary for bookkeeping, accounting, and documentation purposes
correspondence and customer cases are retained for as long as necessary to handle the matter and for a reasonable period thereafter
information relating to damage, breach, disputes, and claims may be retained for longer where necessary to establish, exercise, or defend legal claims
Accounting records must generally be retained for 5 years from the end of the financial year to which the material relates.
12. Your rights
Under data protection law, you have a number of rights in relation to our processing of your personal data.
You may, among other things, have the right to:
access the personal data we process about you
have inaccurate information corrected
have information deleted in certain cases
have processing restricted in certain cases
object to certain processing
data portability where the rules entitle you to it

Your rights are not absolute and depend on the specific processing and applicable law. The Danish Data Protection Agency lists, among other things, the right of access, rectification, erasure, and restriction as key rights for data subjects.
13. Withdrawal of consent
If processing is based on your consent, you may withdraw that consent at any time. This does not affect the lawfulness of any processing carried out before the consent was withdrawn.

We have implemented appropriate technical and organisational security measures to protect your personal data against accidental or unlawful loss, alteration, unauthorised access, disclosure, or misuse.
